Cashbook, Ledgers and Integration with other packages

Chasing Debtors, Managing Creditors and Controlling the Bottom Line



The VizBiz includes standard export routines to send book-keeping data to other packages which the business (or their accountants) may already be comfortable with. But for those who are not committed to those other packages, the Cashbook and Ledgers offer extremely powerful Book-keeping tools which enable the production of all the major routine reports (Trial Balance, Profit and Loss, VAT returns, Annual Accounts etc)

We also have probably the most powerful day to day ledger management tools available. These “Instant Searches” provide a clue:



     Account Ref (transactions on given account, optionally restricted to
     Paid/Unpaid with or without arbitrary date range)

     Alternate Ref (eg Factoring Account Refs)

     Banked Amount (finds all transactions in a single “Banking”)

     Bank Ref (transactions on a given Bank Account)

     Cheque Number (transactions on a given Cheque Number)

     Cheque Number Account (Transactions on given Cheque Number on given account)

     Cheque Total (transactions forming part of a given payment)

     Date (transactions on actual or prospective Payment Dates)

     Debit or Credit Amount (transactions with arbitrary credit or debit values
    – including foreign Currency values)

     Invoice Date (transactions with a given invoice date)

     Invoice Ref (transactions with a given Invoice Reference)

     Internal Purchase Ref (Purchase transactions with given internal reference)

     Record Number (absolute transaction number)

     Received (transactions forming part of a given amount received from an Account)

     Statement (transactions on a given Statement Number and Bank)

    Type (transactions of a given type/nominal heading)

     Type in Date Range (transactions of a given type in arbitrary date range)

In addition the user can Search the Cashbook like any other part of the system and store their own library of routine or useful searches. (See “Searching For Data”) In the cashbook, for example, that might include such things as “Debtors at Period End”, “VAT Unreconciled at End Date”, “Currency Transactions Not Yet Bank Reconciled”, “Items paid on Bank Account XXX in Date Range” etc. In fact the average cashbook user typically builds up a library of a few hundred such routine and useful queries.

The VizBiz includes comprehensive Foreign Currency management. Hence when paying off multiple suppier invoices in a foreign currency, the system prompts you for the relevant exchange rate as it appears on the notification (or bank statement) and applies that rate to all relevant invoices, so that, in the cashbook you can see both the currency value and the correct Sterling (or other Base Currency if you’re outside the UK) value on the same record.
